Speak Up, Be Heard, You Matter is a message that I’ve been spreading for some time now. If you have a question, concern or suspect illegal or unethical behavior, you are encouraged to immediately speak up and report it so actions can be taken. Reporting channels to seek guidance or make a report include speaking directly to your immediate supervisor, any other member of management, Human Resources, Legal, or the Ethics & Compliance team.
You can also voice your concerns by contacting the confidential AWARE Line that offers a convenient, anonymous way to raise issues. I want to take this opportunity to answer some of your questions about what happens when you contact the AWARE Line.
Q: Who answers the calls?
AWARE Line calls are answered by an independent third party with experience in handling hotline reports. A specialist will ask you questions and send a report to the Company for appropriate follow up. Reports are handled promptly and discreetly.
Q: Is it the same process if I submit a report online?
Yes, online reports also are directed to the same independent third party and processed in the same manner for follow up by the Company.
Q: Is my report kept confidential?
Any information provided will be treated confidentially. In some instances, if an investigation is needed, information may be shared on a need-to-know basis. In addition, the Company may be required by law to report certain types of information received.
Q: Are calls recorded or traced?
No, and the Company is not be able to determine who called or who logged in to submit an online report.
Q: Can I remain anonymous?
Yes, and you will be given a report number that will allow you to follow up to receive an update on the matter from the Company or provide additional information. If you decide not to give your name, it is important to provide as many details as possible (for example, who, what, when, where) to allow the Company to promptly address and respond.
Q: What if I’m worried that my supervisor or co-workers will treat me differently if they find out that I contacted the AWARE Line?
The Company does not tolerate retaliation against anyone who raises a concern or participates in an investigation. Retaliation means that an employee is subjected to a negative consequence for reporting a concern or participating in an investigation. Anyone who retaliates or attempts to retaliate will be subject to disciplinary action, up to and including termination of employment.
Q: What does it mean to report a concern in good faith?
It means that you were honest when raising a concern and believed that the information you provided was accurate even if later proven to be mistaken. It is a violation of our Code of Ethics to knowingly make a false accusation, lie to investigators, or interfere or refuse to cooperate with an investigation.
When you voice your concerns – no matter how big or small – we hear you and ensure appropriate actions will be taken.
