Whether you’re sending an email, uploading a file, or collaborating with external partners, DLP ensures that our data stays protected. But technology alone isn’t enough—your actions matter.

What is DLP?

DLP is like a security system that:

  • Spots and stops sensitive information from being shared with unauthorized people
  • Prevents accidental leaks of important data
  • Makes sure we follow company rules and legal requirements about data protection

How You Can Help Protect Our Data

You play an important role in keeping our information safe:

  • Label your documents:  Use Microsoft Sensitivity Labels to mark documents based on how sensitive they are.
  • Protect sensitive emails: Encrypt emails containing sensitive or confidential information,
    especially when sending outside the organization.
  • Use the right tools for sharing: Use SharePoint and Teams for external collaboration by following guidelines for effective and safe sharing.
  • Keep company data in company systems:  Avoid saving work files to personal devices or unsanctioned cloud storage (like personal Google Drive or Dropbox).
  • Speak up about concerns:   If you accidentally share something sensitive or notice something suspicious, tell us right away at DataProtection@republicservices.com.

Common Mistakes to Avoid

  • Sending sensitive information externally in unencrypted emails
  • Sharing files too broadly with “Anyone in the organization” links
  • Uploading company information to AI tools like ChatGPT
  • Sending work files to your personal email or devices
  • Forgetting to add sensitivity labels to confidential documents
